Introduction

Welcome to Emory Catering At Oxford College! We appreciate your business and look forward to making your event special. Every event is unique and we understand that this guide may not offer everything that meets your needs. Please contact us if you are interested in creating a custom menu or have needs that are not covered in our catering system. Please review the information below regarding some basic policies that help us to serve all of our guests better.

Reserving space for catered events

All space is reserved through 25live. Reservations are to be made at least two weeks in advance of the function. When reserving the space, please allow three hours before and two hours after for set-up and clean up.


Changes/Guarantees/Cancellations

Your event should be booked as soon as the event date is confirmed and with an attendance estimate. Guaranteed guest counts must be phoned or e-mailed to the dining services office three full business days prior to your event. If you do not provide a guaranteed attendance, your attendance estimate serves as your guarantee. At the conclusion of your event, you will be billed for the greatest number served, either the guaranteed number or the actual number of guests served. All changes or cancellations referring to the menu, guest count, or event arrangements must be confirmed three business days prior to the event and must be in writing. If any cancellations are made with less than three business days` notice, you may be charged for any food or labor that has been committed to the event. Cancellations made within 24 hours of the event will result in a charge of the total bill in full.


Delivery/Clean up/Table Set up

There are no charges for delivery, clean up or table set up for on campus events. We will provide a 10% discount on pick up orders (does not apply to can or bottle beverages). A $150 service charge will be applied to your final bill on all off campus events.


China

All catered functions, coffee breaks, buffets, and receptions include our high quality compostable and recyclable products. There is no additional charge for china and glassware service in the dining hall. If china is to be used outside the dining hall the cost will be an additional 5% on your final bill.


Linen

As a standard, we provide tablecloths and table skirting for all food and beverage tables. Linen for guest tables can be provided at an additional charge. The same applies to registration tables, nametags tables, head tables, and any additional tables that will not be directly used for food and beverage set up. 85-inch square white for round tables-$8.00 per tables, 54-inch overlays $6.00 each. Cloth and Table Skirt $20.00 per table, Napkins $1.00 per napkin. **Limited Colors in House**


Seated and Served

If you choose to have your catered event to be seated and served, the cost will be an additional 5% on your final bill. Seated and served events outside the dining hall, will require a chef. The chef attendants are $75 per hour, for each chef, with a minimum of three hours.


Payment

We gladly accept payment by Emory University/Oxford College smartkey, cash, check, or credit card. Non-Emory/Oxford customers are required to provide a deposit for 50% of the estimated total. This is due 15 business days prior to the event and final payment should be remitted to the catering office 72 hours prior to the event. 7% sales tax will be applied to all catering events.

A 15% service charge is added to all Non-Emory/Oxford events not paid through an Emory University/Oxford College smartkey.


Flowers and Rental Items

We can be of assistance in many areas of service to enhance your event, including floral arrangements, balloons, balloon sculptures, ice carvings, entertainment, and decorations. We can source a wide variety of specialty linens, tables, chairs, and party tents for you. Clients are responsible for all equipment rented for their event and will be charged for all missing or damaged items.


Alcohol Procedures

Oxford College has some restrictions regarding locations and times that alcoholic beverages may be served on campus. Please contact us for more information on specific restrictions.

It is the responsibility of the customer to provide the alcohol for events. There will be no additional fees applied to your event in which alcohol is served. We will store, chill, and provide high quality paper cups and ice for the event. Other glassware is available at an additional charge. If a full bar set up is required, an attendant must be present at a rate of $25 per hour whenever alcohol is being served by the Oxford College Catering Service Department. (minimum 3 hours)


Attendants

Attendants are included with all served and buffet meals based on a two-hour service time. We will provide 1 attendant for every 75 guests attending. If you would like to have an attendant present at a break or reception, there is a charge of $25 per hour for each attendant with a minimum of three hours. Exhibition cooking stations, seated and served meals, carving stations, and outdoor cooking stations (cookouts) require a chef. The charge for chef attendants is $75 per hour, for each chef, with a minimum of three hours.


Personal Set-ups

Should you request the use of your own serving utensils, china, serving trays, or any other personal items, Oxford College Dining Services Catering or any of its employees cannot be held responsible for any lost or damaged pieces. Clients are responsible for all equipment rented for their event and will be charged for all missing or damaged items.

Oxford Catering is committed to sustainable practices throughout its operations. Supporting local artisans and farmers, we seek out the best possible ingredients and pride ourselves on developing menus that are appropriate for each client, catering environment, and season. We are able to adjust menu offerings to suit your sustainable needs. Wild salmon, free-range chicken and grass-fed beef are just a few of the sustainable substitutions possible. We can also help you build a menu around Georgia-grown produce. Other local items, such as cheeses and baked goods, as well as organic products, are additional environment friendly alternatives available to you. In addition to ``greening`` the food, we can also work with you to reduce the waste generated by your event. Reusable china service is available, as well as bulk serving of items such as milk and sugar for coffee to avoid adding their packaging to the waste stream.
